Prodix Solutions Ltd ("Prodix", "we", "us", "our") is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, and share information about you when you use our website at prodixsolutions.co, our Prodix platform, or engage us for software development services.

We are the data controller for the personal data we hold about you. We are registered in England and Wales (Company No. 15375381). If you have any questions about this policy, contact us at info@prodixsolutions.co.

1. What data we collect

We may collect and process the following personal data:

  • Identity data: name, job title, company name.
  • Contact data: email address, telephone number, postal address.
  • Technical data: IP address, browser type and version, time-zone, operating system, device identifiers, pages visited, and session duration — collected automatically via cookies and server logs.
  • Communications data: messages you send us via email, our contact form, or other channels.
  • Transaction data: details of services you purchase and payment records (payment card details are processed directly by our payment processor and are not stored by us).
  • Usage data: information about how you use our Prodix platform, including test runs, screenshots, and configuration data you upload.

We do not intentionally collect any special category data (e.g., health, biometric, or criminal record data). Please do not send us such data.

2. Legal bases for processing

Under UK GDPR, we rely on the following lawful bases:

  • Contract: processing necessary to perform a contract with you or take steps at your request before entering into one (e.g., delivering our services, responding to enquiries).
  • Legitimate interests: processing necessary for our legitimate business interests, such as improving our platform, preventing fraud, and marketing our services to business contacts — where those interests are not overridden by your rights.
  • Legal obligation: processing necessary to comply with a legal obligation, such as keeping accounting records.
  • Consent: where we rely on your consent (e.g., marketing emails), you may withdraw it at any time by contacting us or clicking "unsubscribe".

3. How we use your data

  • To provide, operate, and improve our website and Prodix platform.
  • To respond to your enquiries and deliver requested services.
  • To process payments and manage your account.
  • To send service-related notifications (e.g., test run results, account alerts).
  • To send marketing communications about our products and services where we have a lawful basis to do so.
  • To comply with legal and regulatory obligations.
  • To detect, investigate, and prevent fraudulent or unlawful activity.

4. Cookies

We use cookies and similar tracking technologies on our website. Strictly necessary cookies are placed automatically. Analytics and preference cookies require your consent. You can manage your cookie preferences through your browser settings or our cookie banner. For more detail, see our full cookies list available on request.

5. Sharing your data

We may share your personal data with:

  • Service providers acting as processors: hosting providers (e.g., Vercel, AWS), payment processors (e.g., Stripe), email services (e.g., Resend), analytics tools, and customer support tools. These parties process data only on our instructions.
  • Professional advisers: lawyers, accountants, and auditors under duties of confidentiality.
  • Regulators and authorities: where required by law or to protect legal rights.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, with appropriate confidentiality safeguards.

We do not sell your personal data to third parties.

6. International transfers

Some of our service providers are based outside the UK. Where we transfer personal data internationally, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA) or adequacy decisions by the UK Secretary of State, in accordance with UK GDPR Chapter V.

7. Data retention

We retain personal data only for as long as necessary for the purposes described above, or as required by law. As a general guide: contact and enquiry records are kept for up to 3 years; client records are kept for 7 years following the end of a contract (to comply with tax and accounting obligations); technical logs are retained for up to 12 months. We will securely delete or anonymise data when it is no longer needed.

8. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Rectification of inaccurate or incomplete data.
  • Erasure ("right to be forgotten") in certain circumstances.
  • Restriction of processing in certain circumstances.
  • Data portability where processing is based on consent or contract and carried out by automated means.
  • Object to processing based on legitimate interests or for direct marketing.
  • Withdraw consent at any time where processing is consent-based.
  • Complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

To exercise any of these rights, email us at info@prodixsolutions.co. We will respond within one month. We may need to verify your identity before acting on a request.

9. Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, destruction, or alteration, including encryption in transit and at rest, access controls, and regular security reviews. However, no transmission over the internet is entirely secure.

10. Children

Our website and services are not directed at children under 13. We do not knowingly collect personal data from children. If you believe we have inadvertently done so, please contact us and we will delete it promptly.

11. Changes to this policy
